If you want to know how I nailed it and would like the details (the devil is in the details) of how I put it together and made the presentation that caused them to overlook 4 other presenters and immediately say Yes! where do we sign. I no longer give Carpet Cleaning Proposals and now give Clean Carpet Proposals only. Please request it on this board, no lurkers and your constant e-mails requesting info and you never post here. We can all learn if there is Dialog.

Not all of the written proposal will be revealed here as my competitiors read the web also. Each proposal I have written since 1987 has been different. I have never bid on any jobs that were alike, Highrise office bldgs., Conference Centers, Auto Dealerships, Multi Medical offices, Churches, Daycare Centers and etc. are all different and have different needs and budgets. This Proposal was for 7 Daycare Centers, Mon-Fri opperation. All bldg.floor plans are almost identical, all bldgs. are within 9 miles of our base. Each bldg. has 9000 sq. ft., with approx. 5400 sq. ft. of very well maintained CGD olefin carpet. I priced the job at .19 square foot with 3 cleanings per year (every 4 months) and one spot cleaning every month (we allowed 45 minutes per bldg.) Cleaning of each bldg is scheduled to take 4 hours. All furniture is to be moved from the carpet on Friday evenings by their staff and cleanings will be done on Saturdays or Sundays. This is all spelled out in the proposal, nothing is ageeded upon verbally. We will be using CimexReleasit in all the halls and OP/bonnet with Encap Punch or Procyon in all the rooms.
we only put one sentence about method in the contract (they are more interested in results)Total cost of the contract is $21546.00. This business is owned by two women. I broke the payments into 12 equel payments or $1795.50 1st payment is due when we start next Saturday and we will bill them every 30 days for the next 11 months. The reason they were so anxious to go with this is because no one offered a plan to work within their budget. Their cost for having each of the 7 centers with a clean carpet contract is only $256.50 out of the operating budget for each day care center each month. For us it is a easy job and very profitable, we both win. We will have keys and alarm codes allowing us some flexiabilty. We will do 4 units next weekend (Sat/Sun) and 3 the following weekend. I have several churches, office bldg, eight Doctors offices and a Auto dealership uder simular set up. I only do this with commercial customer/clients. Our proposals include our experience, certifications, our insurances and referals. When I was in the coporate world and wore a younger mans clothes, all of the contracts we let for cleanings to outside contractors had a 30 day cancellation clause. I do not have that in any contracts we issue anymore. Our Contracts are for the full year and are binding in a court of law. I did this after we cleaned several facalities, we were sent a 30 day cancellation in writing and a check for that first month. I took them to court and lost because of that clause. Be careful.

I use something very similar when I write proposals for commercial stone restoration jobs. This system or approach does several things for both you and the client.

Benefits for the Client:
Regular budget – no surprises over the course of the year
Regularly scheduled cleanings
Consistent appearance of carpet (There are also other advantages here when it
comes to consistency with your company)

Benefits for you:
Regular set income that you can plan a budget on
Easier for work/labor loading and scheduling
Now you have paper – when you go to sell your company you now have something tangible.

My approach for large commercial stone restoration is a little different. Let’s say there is a large lobby that needs to be restored. I’ll figure out what the price for full proper restoration is (for the purpose of illustration lets use the number of $20,000), then I will often double that dollar amount ($40,000). Then take and figure out what will be needed for ongoing maintenance (in this case we’ll go with $1,800 a month). Over five years that’s one restoration and 59 services; 59 X $1,800 = $106,200 + $40,000 = $146,200. Take and divide that by the total number of times in the facility $146,200 / 60 = $2,436.67. Now I come in and give them full proper restoration for only $2,436.67, that’s it – everyone else wants $20,000 for the same thing. They can cancel the contract at any time but their exit fee is the original $20,000 restoration.

General expenses for operating commercial buildings are tighter now then when I was a Maintenance/Energy Manager 25 years ago. I never had anyone come to us offering to budget those expenses over a period of time in the form of a monthly billing. That is the point I was trying to make to put you in a favorable position to aquire the business. The BIG plus is that when you sell your company, it is worth a lot more with signed contracts. It works for me. I have covered all the details that are important, the rest has to be keyed to your company. I sure hope no one was expecting me to send a template so that all they had to do was fill in the blanks. David, let me say if I never have the opportunity to work with you again, I will thank God for allowing you to pass thru my life one very cold night.

Those are great Ideas. We have been doing a version of what David stated for a while in the buidlings we service, expecially when we are already doing the janitorial in the building already.

The commecial properties can handle a monthly chunk better then the a few large lumps a year.

This also does another thing. Give you a steady cash flow all year long

Ray thanks for the kind words and it’s nice to see we’re on the same page, I consider that a compliment in its self. Oh by the way, how do you feel about coming down and volunteering on a 19,500 sq ft concrete grind and stain? It’s a parking area where the concrete has heaved as much as about 3” in some areas and has caused some people to trip and get banged up pretty bad. IF (notice that was a BIG if) we go this direction, this one is going to be a little daunting because of the amount of material that needs to be removed; but at the same time it will be fun if you like sticking your neck out and killing yourself.

BTW Thanks Rick for your kind words, you have a brother to be proud of. Green Eggs and Ham (if you ask someone enough times, even though you don't like the looks of them, they will try them and find out they really are good) Everyone should read it. It is a good sales training book. I made that post 3 or 4 years ago and am suprissed how many still remember it. David,I was up to the 19500sq. ft. job until I read the word "volunteer" LOL. Today I was in a new Super Wal-mart Center (my wife made me go) a Huge store, and there was not one piece of VCT that I could see anywhere. But all I did see was very smooth stained concrete with what looked like a floor finish on top. Have you seen this? It actualy looked good to me, but the store manager told me that they had a lot of complaints From their customers that it always looked dirty. It was not a even staining, but looked as if they dumped the pails of stain on the floor and brushed it in to make it have some texture. The only other time I saw this was at our local coffee house. In my mind I figure this is a less expensive way to go and the maintenance would be less.

On the advice of our Attorney who eyeballs every contract we write before we go out for signing. Her advice was to not post (the Actual Contract) on the web or send it out all over the world, period.
